Why an occasional cleanse is not a robust control
Most finance teams will recognise the cycle. The supplier file builds up, someone runs a cleanse, and within a couple of years it has built up again. It is a very common position to be in: FISCAL’s data shows that only 8% of organisations have a supplier file in a maintained state, while 58% need a serious cleanse.
Part of the problem is that a messy supplier file is really two problems, and they behave very differently. Dormant records build up steadily and predictably. Duplicates keep arriving with every system migration, supplier rebrand and rushed set-up. Where the two meet, dormant records crowd the duplicate review queue, so the limited time your team has for review goes on records nobody uses and the real duplicate payment risk stays out of sight.
What you’ll learn
In this CPD accredited webinar, Brendan Burke, Director of Services at FISCAL, draws on his team’s experience of cleansing supplier files and on FISCAL’s anonymised cross-customer data.
He will set out a practical four stage approach, explain how often you should review based on the size of your file, and show why a periodic cleanse is a project rather than a control.
He will also look at what a well-maintained file makes possible, from credit monitoring to sanctions checks.
By the end of the session, you will be able to:
- Tell the difference between dormant and duplicate supplier records, and explain why each one builds up.
- Explain why dormant records hide real duplicate payment risk in a review queue.
- Apply a four-stage approach, starting with the right data, at a frequency that fits your file.
- Explain why accurate supplier identifiers matter, and the proactive work a maintained file makes possible.
